Job Summary:

The Manager of Driver Scheduling is responsible for the planning, development, execution, and oversight of all driver scheduling functions across the Landline motorcoach operation. This role ensures optimal staffing coverage for all scheduled and chartered services, while maintaining strict compliance with FMCSA Hours of Service (HOS) regulations, internal company policies, and service commitments. The Manager works collaboratively with System Operations Control (SOC), Operations, Safety, and Human Resources to forecast staffing needs, develop efficient schedule patterns, and support the company's growth and service reliability goals.

Key Responsibilities:

Driver Scheduling & Assignments

  • Develop, publish, and maintain driver schedules that support daily operations, planned charters, and seasonal demand shifts.
  • Ensure compliance with FMCSA Hours of Service (HOS) rules, rest period requirements, and duty limits for all scheduled assignments.
  • Monitor and adjust assignments in real-time as operational demands change (e.g., delays, driver callouts, vehicle breakdowns).
  • Oversee driver pairing and route assignments based on company work rules.

Planning & Bidding

  • Lead the bi-weekly, monthly, or seasonal driver bid process, allowing qualified drivers to select assignments based on seniority and preference.
  • Collaborate with Commercial and Sales to forecast future service demand and determine corresponding driver staffing requirements.
  • Develop and analyze crew scheduling metrics to improve schedule efficiency and reduce fatigue risk and overtime costs.
  • Design and maintain a library of schedule lines ("line packages") to support recurring assignments and equitable work distribution.

Systems, Compliance & Audits

  • Develop, implement and maintain scheduling systems and databases (manual or software-based) to track availability, qualifications, certifications, and expiration dates (e.g., CDL, GSC, DOT medical cards).
  • Coordinate with Safety and Training to track newly qualified drivers and remove drivers temporarily disqualified from service.
  • Ensure all schedules and logs comply with federal and state regulations, including DOT/FMCSA regulations.
  • Participate in periodic audits and reporting related to hours of service and driver utilization.

Collaboration & Communication

  • Play a key role in designing and refining scheduling processes, tools, and documentation as part of a new centralized scheduling function.
  • Collaborate with SOC dispatch team and analysts to execute daily scheduling and tactical changes.
  • Act as a liaison between drivers, dispatch, and management for all scheduling-related concerns or disputes.
  • Develop training programs and SOPs for new scheduling team members.
  • Support employee engagement by addressing schedule-related grievances and ensuring fair, transparent schedule assignment.

Business Continuity & Disruption Management

  • Develop contingency plans for weather, traffic, driver shortages, and other service disruptions.
  • Support SOC and Stations during operational irregularities, including standby driver utilization and overnight accommodations.

Qualifications:

Education:

  • Bachelor’s degree in Transportation, Aviation Operations, Business Administration, Operations Management, or related field (preferred)

Experience:

  • Minimum 3–5 years of scheduling or workforce planning experience, preferably in transportation (motorcoach, bus, trucking, airline).
  • Prior management or supervisory experience highly desirable.

Skills & Competencies:

  • Deep knowledge of FMCSA HOS rules, DOT compliance, and related regulatory frameworks.
  • Experience with workforce scheduling software or transportation management systems (e.g., Trapeze, Routematch, Samsara, SkedFlex, etc.).
  • Strong analytical, problem-solving, and time-management skills.
  • Excellent interpersonal and communication skills with the ability to manage sensitive schedule issues tactfully.
  • Ability to work flexible hours as needed to support operations.

Preferred Qualifications:

  • CDL Class B or higher (not required but a plus).
  • Prior experience developing new scheduling or bidding systems.
  • Union/collective bargaining environment experience.
  • Project management or process improvement certifications.

Working Conditions:

  • Office environment with field or station visits.
  • May require on-call availability during peak periods or emergencies.
